Email has become
an important communication tool throughout the Postal
Service. Over 11 million emails are processed through the
Postal Service email system each day. Here are some
essential things to remember when sending email:
First and foremost; USE COMMON SENSE
Before hitting the send button, read the message and think
about how you would feel if you were receiving that same
message.
Wait, and give yourself time to cool down, before replying
to a message that is upsetting or makes you angry.
Don’t send heated messages, even if you are provoked.
Do not send messages that could be considered insensitive or
offensive.
Never use ALL CAPS – it gives the reader the impression that
you are yelling.
Take the time to read what you write – Make sure the tone is
what you intended.
As the saying goes, "It's not what you say but how you say
it." It's a lot easier to convey the meaning of your words
when you speak than it is when you write. Make sure your
tone is polite and professional..
Know who you are sending a message to and only include those
for whom the message is intended.
Think before you hit the send button.
